FilesStayLocal User Guide

Learn what each FilesStayLocal Product does, which source files it accepts, how to run it, what output to expect, and what to review.

Website for access. Desktop app for processing.

Your working documents are selected and processed in the FilesStayLocal desktop app on your computer. The website is used for accounts, licenses, Product access, software downloads, documentation and support.

PRODUCT 1 OF 13

Batch PDFs → Excel Files

What this tool does

Convert several digital PDFs in one run while keeping every source PDF as its own Excel workbook.

Best for

Monthly reports, statements, inventory reports and operational PDFs that should remain separate.

Supported input

PDF (.pdf). Select one or more digital PDFs.

What the source file should look like

Best results come from PDFs containing selectable text and structured tables. Scanned or image-only PDFs require OCR and should be reviewed.

How to use it

  1. Open FilesStayLocal and choose Batch PDFs → Excel Files.
  2. Select the PDF files you want to process.
  3. Review the selected files and start conversion.
  4. Choose or confirm the output location.
  5. Open the generated ZIP and review the Excel workbook created for each source PDF.

Output

A ZIP containing separate XLSX workbooks. Each source PDF produces its own Excel file.

Example workflow

Report_A.pdf → Report_A.xlsx; Report_B.pdf → Report_B.xlsx.

Review notes / limitations

The tool does not combine all PDFs into one workbook. Image-only/scanned material may be flagged for review rather than silently treated as complete.

Privacy

Multiple PDFs → One Excel

What this tool does

Combine similar recurring business PDFs into one professional Excel workbook while keeping source information traceable.

Best for

Monthly sales, inventory, KPI, statement and recurring operational-report consolidation.

Supported input

PDF (.pdf). Select at least two PDFs.

What the source file should look like

Use related digital PDFs with broadly compatible report structures. Narrative-only or image-only content may need review.

How to use it

  1. Choose Multiple PDFs → One Excel.
  2. Select two or more related PDFs.
  3. Review the selected source files.
  4. Run the combination process.
  5. Open the resulting workbook and review source sheets, consolidated sheets and processing information.

Output

multiple_pdfs_one_excel.xlsx with source sheets, consolidated compatible data and processing/report information.

Example workflow

January.pdf + February.pdf + March.pdf → one Excel workbook containing the source and consolidated information.

Review notes / limitations

Files that cannot be safely consolidated should remain traceable rather than being silently forced into an incompatible schema.

PDF Table Extractor

What this tool does

Extract useful structured tables from one digital PDF into Excel without treating ordinary narrative text as spreadsheet rows.

Best for

Reports where the tables—not the surrounding prose—are the information you need.

Supported input

One PDF (.pdf).

What the source file should look like

Digital PDF with extractable tables and text. Image-only/scanned PDFs require OCR.

How to use it

  1. Choose PDF Table Extractor.
  2. Select one PDF.
  3. Run Extract.
  4. Open the generated Excel workbook.
  5. Review extracted table sheets and the Processing Report.

Output

{source-name}_tables.xlsx containing extracted table sheets plus processing/report information.

Example workflow

Quarterly_Report.pdf → Quarterly_Report_tables.xlsx.

Review notes / limitations

This tool is intentionally table-focused. Narrative text is not automatically converted into artificial spreadsheet rows.

Invoice → Excel Register

What this tool does

Process multiple digital invoices into one structured Excel register for tracking and review.

Best for

Accounts-payable review, invoice logs, vendor summaries and invoice tracking.

Supported input

PDF (.pdf) digital invoices. One or more invoices.

What the source file should look like

Invoices should contain extractable text. Common layouts and alternate labels are supported; uncertain or missing fields are not silently invented.

How to use it

  1. Choose Invoice → Excel Register.
  2. Select one or more invoice PDFs.
  3. Run the invoice extraction.
  4. Open invoice_register.xlsx.
  5. Review extracted fields and any rows marked for review.

Output

invoice_register.xlsx with fields such as vendor, invoice number, invoice/due dates, PO number where available, currency, subtotal, tax, total and review status.

Example workflow

A batch of supplier invoice PDFs → one invoice register with one summary row per invoice.

Review notes / limitations

Missing or uncertain fields may be blank or flagged. Image-only invoices require OCR/review.

Receipts → Expense Report

What this tool does

Convert multiple digital receipts into one organized expense register.

Best for

Expense review, reimbursement preparation and receipt consolidation.

Supported input

PDF (.pdf) digital/text-based receipts.

What the source file should look like

Receipts should contain extractable text. Photographed/image-only receipts require OCR.

How to use it

  1. Choose Receipts → Expense Report.
  2. Select the receipt files.
  3. Run the extraction.
  4. Open receipt_expense_report.xlsx.
  5. Review totals, payment information and any items requiring review.

Output

receipt_expense_report.xlsx with merchant, date, currency, subtotal, tax, tip, total, payment method and review status where available.

Example workflow

Several digital receipts → one consolidated expense workbook.

Review notes / limitations

Expense purpose/category can require human review when it is not explicit in the receipt.

Spreadsheet Cleaner

What this tool does

Clean messy spreadsheet data conservatively while protecting formulas, identifiers and the original source file.

Best for

Whitespace, inconsistent headers, blank rows/columns, safe type normalization and duplicate cleanup.

Supported input

One Excel workbook (.xlsx) or CSV file (.csv).

What the source file should look like

Use a spreadsheet containing the actual business records you want cleaned. The source file is preserved.

How to use it

  1. Choose Spreadsheet Cleaner.
  2. Select one XLSX or CSV file.
  3. Run the cleanup.
  4. Open the new cleaned workbook.
  5. Review the Cleaning Report to see what was changed or intentionally skipped.

Output

{source-name}_cleaned.xlsx plus a Cleaning Report.

Example workflow

A messy customer-sales workbook → a cleaned version containing the same business records with safe formatting/data cleanup.

Review notes / limitations

Formula and merged-layout safety takes priority over aggressive cleanup. Potentially destructive changes may be skipped.

Combine Files → One Dataset

What this tool does

Combine multiple related structured files into one normalized Excel dataset.

Best for

Recurring exports where column names or ordering vary slightly between files.

Supported input

At least two files: .xlsx, .csv, .tsv or structured/delimited .txt.

What the source file should look like

Files should contain structured/tabular information. Free-form prose is not treated as a dataset.

How to use it

  1. Choose Combine Files → One Dataset.
  2. Select two or more structured files.
  3. Review the selected inputs.
  4. Run Combine.
  5. Open combined_dataset.xlsx and review the dataset, import report and column mapping.

Output

combined_dataset.xlsx containing the Combined Dataset, Import Report and Column Mapping.

Example workflow

January.xlsx + February.csv + March.tsv → one normalized dataset.

Review notes / limitations

Structured text is supported. Unstructured prose is flagged rather than forced into columns.

Document Compare

What this tool does

Compare two versions of a supported business document and identify added, removed and changed information.

Best for

Old/new versions of quotes, reports and other supported business documents.

Supported input

Exactly two files. Supported types: PDF (.pdf), text (.txt) and XML (.xml).

What the source file should look like

Select two distinct documents and identify the old and new version in the correct order before execution.

How to use it

  1. Choose Document Compare.
  2. Select exactly two supported documents.
  3. Confirm which document is OLD and which is NEW.
  4. Run Compare.
  5. Open document_comparison.xlsx and review the detected differences.

Output

document_comparison.xlsx showing comparison results including added, removed and changed information.

Example workflow

Old_Quote.pdf + Revised_Quote.pdf → an Excel comparison workbook.

Review notes / limitations

Ordering matters: confirm old versus new before running the comparison.

Bank Statements → Transaction Register

What this tool does

Convert digital bank and credit-card statements into a normalized Excel transaction register.

Best for

Consolidating checking, deposit-account and credit-card statements for review and analysis.

Supported input

PDF (.pdf) digital bank/credit-card statements.

What the source file should look like

Statements should contain extractable text. Supported layouts may use signed amounts or separate debit/credit columns.

How to use it

  1. Choose Bank Statements → Transaction Register.
  2. Select the statement PDFs.
  3. Run the extraction.
  4. Open transaction_register.xlsx.
  5. Review normalized transactions, statement information and source-page traceability.

Output

transaction_register.xlsx containing normalized transactions and statement summary information.

Example workflow

Several monthly bank statements → one normalized transaction register.

Review notes / limitations

Scanned/image-only statements require OCR/review. Source-page traceability is retained where available.

Purchase Orders → PO Register

What this tool does

Convert multiple digital purchase orders into a structured register with purchase-order and line-item information.

Best for

Consolidating multiple purchase orders for purchasing, vendor and operational review.

Supported input

PDF (.pdf) digital purchase orders.

What the source file should look like

Use digital purchase orders with extractable text and line-item information.

How to use it

  1. Choose Purchase Orders → PO Register.
  2. Select one or more purchase-order PDFs.
  3. Run the extraction.
  4. Open purchase_order_register.xlsx.
  5. Review PO-level fields and detailed line items.

Output

purchase_order_register.xlsx containing purchase-order summary and detailed line-item information.

Example workflow

A folder of supplier POs → one structured PO register.

Review notes / limitations

Uncertain or unavailable values should be reviewed rather than assumed.

Price Lists → Product Catalog

What this tool does

Consolidate digital vendor price lists into one searchable Excel product catalog.

Best for

Multiple supplier price lists, SKU catalogs, vendor comparisons and purchasing reference data.

Supported input

PDF (.pdf) digital vendor price lists.

What the source file should look like

Price lists should contain extractable tables/text such as SKU, description, price, UOM, pack or availability information.

How to use it

  1. Choose Price Lists → Product Catalog.
  2. Select the vendor price-list PDFs.
  3. Run the catalog build.
  4. Open product_catalog.xlsx.
  5. Review normalized products, vendors, prices and availability.

Output

product_catalog.xlsx containing normalized products, prices, vendors and availability information.

Example workflow

Vendor_A.pdf + Vendor_B.pdf → one searchable product catalog.

Review notes / limitations

Separate vendor offerings are preserved even when the same SKU occurs in more than one vendor list. Image-only lists require OCR/review.

Merge PDFs

What this tool does

Combine multiple PDFs into one PDF in the exact order you choose.

Best for

Reports, packets, forms, statements and supporting-document bundles.

Supported input

At least two PDF files (.pdf).

What the source file should look like

Arrange the source PDFs in the intended order before execution.

How to use it

  1. Choose Merge PDFs.
  2. Select two or more PDFs.
  3. Confirm/reorder the files into the desired sequence.
  4. Run Merge.
  5. Open merged_document.pdf and verify the page order.

Output

merged_document.pdf.

Example workflow

Cover.pdf + Report.pdf + Appendix.pdf → merged_document.pdf.

Review notes / limitations

Pages are combined; their content is not extracted or rewritten.

Split / Extract PDF Pages

What this tool does

Create a new PDF from selected pages or split one PDF into individual page files.

Best for

Extracting a page range, creating a smaller PDF, or splitting a document into one PDF per page.

Supported input

Exactly one PDF (.pdf).

What the source file should look like

Choose either Selected Pages mode or Split Every Page. Selected Pages requires a valid page specification.

How to use it

  1. Choose Split / Extract PDF Pages.
  2. Select one PDF.
  3. Choose Selected Pages or Split Every Page.
  4. For Selected Pages, enter the desired page numbers/ranges.
  5. Run the tool and review the generated PDF or folder of PDFs.

Output

Selected mode: {source-name}_selected_pages.pdf. Every-page mode: {source-name}_page_01.pdf, page_02.pdf and so on.

Example workflow

Pages 2-4 from a six-page packet → one new three-page PDF.

Review notes / limitations

The engine validates page bounds. Source pages are copied into the new output; the source PDF remains unchanged.

Source-file safety

Your original files are not modified. FilesStayLocal reads your selected source files locally and creates separate output files. It does not overwrite, rename, move or delete your originals.

Keep backups of important documents and review generated output before relying on it. Conversion or extraction may require review for unusual layouts, damaged files, unsupported structures, scanned/image-only material or ambiguous data.

FilesStayLocal is a document-processing productivity tool. Generated output is not a substitute for professional legal, tax, accounting, medical or financial advice where such advice is required.
